Online attendance

With online attendance, a coach, instructor, teacher or similar can mark players, participants, attendees, etc. present directly on site when an activity takes place. This could for example be the following:

  • A teacher marks present pupils in the classroom when the lesson begins.

  • A coach marks present players in the hall when training starts.

Marking participants takes place on e.g. smartphone, tablet (e.g. iPad or similar), laptop, or whatever technical equipment you have available that is connected to the internet.

In the administration part of the system, attendance statistics can subsequently be pulled for members.

Setup in the system

To activate online attendance, choose “Configuration -> Club -> Choose modules” and tick “Member Portal”. Then choose “Configuration -> Member Portal -> Choose modules” and tick “Online attendance for instructors”. A menu item named “Online attendance” now appears on the left.

The instructors who should have access to perform online attendance must be created as members in the system. Optionally create an activity in the system named “Instructors”, which all instructors are assigned to, so they can easily be distinguished from ordinary members.

Grant access to instructors

Do the following:

  • Click “Online attendance -> Assign access” in the menu on the left and then choose the activity that one or more instructors should have access to.

  • Click “Continue to choose members”.

  • All members are now shown — choose the instructors (who are also created as members) who should have access to this particular activity.

  • Click “Save instructors”.

Marking participants

When the setup above is in place, an instructor can go to the Member Portal and log in, and will then be shown a menu item named “Checklist” where the instructor can choose between the assigned activities.

When the instructor chooses an activity, “New attendance” can be clicked, and all members who are currently assigned to that activity are shown. The instructor can then choose one of the following values for each member:

  • Did not attend

  • Declined

  • Present

When all participants have been marked with one of the values above, the attendance record is saved, and it subsequently becomes visible in the administration part of the system, and is thereby included in the statistics.

New members

If there is a person at the activity who is not on the attendance list, the instructor can add this person via an “on trial” function. When a person has been on trial for a period, the instructor can choose to enroll the member, and a message will then appear in the administration part of the system that there is a member awaiting enrollment. From the administration part you can then send an invoice, welcome letter, etc.

Automatic attendance via access control

If you use access control / the door system, the system can automatically perform attendance marking for members, as the system knows whether a member was present or not when the member is registered at the door.

The system checks whether the member was registered at the door in the time window around the team’s session.

A prerequisite for the system to perform the attendance marking is of course that you use access control / the door system — i.e. have installed our equipment for this — and that on team training sessions you mark that check-in is required. And you must contact us to say that you want this automation enabled.

The system then handles the rest.
