Getting started

Below is a description of how to get started as a new association on the system. You can watch a video presentation of the system here: Watch presentation

Create Association

The first thing you need to do is create an association. Click “Create Association” on the front page of memberorganizer.com. If “Create Association” is not visible, you may be logged in to the demo association. Click “Logout” in the top-right corner.

To create an association you must first register as a user on memberorganizer.com. The system therefore asks for an email address when you click “Create Association”. Enter your email address and click “Create User”.

Within a moment an email will be sent to your inbox, so check your mail. You will receive an email from MemberOrganizer containing a link that activates your account. Click the link.

A page on memberorganizer.com will then open where you choose a password for your account, which together with your email address is used to log in to memberorganizer.com in future. You must also enter the name of the association you want to create.

Choosing modules

When creating the association you can choose which modules you plan to use. You can also add or remove these modules later. The base package includes the member database, communication with members via email, online enrollment, and a number of other features.

In addition, you can choose from the following modules:

  • Accounting module

  • Invoicing module

  • Dankort module and MobilePay

  • Betalingsservice module

  • PayPal module

  • Member Portal

  • Booking module

  • Donation module

  • Access Control System

  • Document archive

  • Meter module (consumption billing)

  • Homepage module

When using the new layout, you can at any time see which modules you currently pay for and your invoices for use of MemberOrganizer via Account -> Subscription and Account -> Billing at the top right. See Billing and subscription.

Setup during the startup phase

MemberOrganizer is flexible and can be set up in many ways — depending on the association’s size, modules, and payment flows. Many associations adopt it gradually.

There is no single «correct» setup

Setup depends on what you want to use the system for. What you should assess is whether your configuration supports that — not whether it matches a fixed template we can «approve» from a distance.

Examples of things that affect setup:

  • Which modules you have chosen (invoicing, accounting, member portal, booking, …)

  • How members are grouped (activities, teams, membership fee types)

  • Which payment channels you want to use — Betalingsservice, MobilePay recurring payments, MobilePay integrated payments, manual MobilePay number, bank transfer, card, …

  • Whether new members should enroll via the member portal, and whether payment should happen immediately on enrollment

Two associations can both have a «correct» setup — and still look completely different.

How support helps during startup

Support is included in the subscription — see Self-administration and support. We guide you on how to do things; as a rule it is the association that performs the actions in the system, possibly following our guidance.

During startup we can e.g. help with importing members and setting up the chart of accounts, as described on our getting started page. Ongoing setup, customisation, and day-to-day operation remain the association’s responsibility — with support when you contact us.

What we need from you

The more specifically you describe where you are stuck, the faster we can help. We cannot review your entire setup without knowing what you want to use the system for — and which concrete questions you have right now.

When you contact us, it helps if you provide:

  • The goal — e.g. «new members should be able to enroll on our website and pay membership fees via card payment and MobilePay»

  • Where you are stuck — e.g. «the link on our website works, but payment does not connect»

  • Concrete details — links (e.g. to the member portal), screenshots, member number, date and amount for a failed payment

  • Desired payment channels — and which agreements you already have

Support hours and paid setup

Support and guidance are included in the subscription. We do not offer general paid setup or support hours for member administration, invoicing, and other day-to-day use of the system.

As an add-on, MemberOrganizer can offer a paid bookkeeping service on an hourly basis — but that applies only to selected bookkeeping tasks in the accounts, not the member database, invoicing, or member portal. See Self-administration and support.
